Context:
CCI France, the lead organization for the “Compétences et métiers d’Avenir” project call, wanted to convene all contributors to the 1001 Parcours project. An event with 120 participants and 12 facilitators was anticipated. Over the course of two half-days, participants moved between different spaces (plenary sessions and workshops).
The Challenge:
“Build a shared common vision… Test an initial prototype of the services under development and launch future projects within the 1001 Parcours community.”
Why Glowbl?
According to François Duport, “With Glowbl, we could both set up the open forum remotely and allow participants to move easily between the various workshops, thus recreating a meaningful collective intelligence event. This was essential to the success of the event.”
Preparation Phase:
“We were supported by Glowbl in preparing the spaces,” says François Duport. “Meanwhile, the facilitators designed the workshops and the flow of the two days. Similar to a building, we created several spaces on Glowbl that could each accommodate up to 50 people. These personalized areas, named after birds, were linked together so participants could orient themselves and move between them.”
“Meghane from Glowbl onboarded the 12 facilitators. She organized a run-through workshop for them to demonstrate all of Glowbl’s features and offer actionable, tailored advice for a successful activity.”
“We ourselves did a second rehearsal of the event on Glowbl, without support. Within our network, we have solid experience facilitating collective intelligence events, both in person and remotely. What mattered most for us was the user experience.”
Event Facilitation and Features Used:
“On the first day, the initial session took place in the forum space for presenting objectives and an icebreaker to engage participants… Then we used facilitation features and the whiteboard so every participant knew which workshop or space to go to.”
Facilitators were distributed across the different spaces, leading the workshops and managing participants’ feedback back in the plenary.
“On the second day, the structure was different: participants could choose the workshops they attended and move freely among them. Each room had an ‘Orientation’ table to support participants. There were also plenary moments to share summaries.”
“We used tables to share CCI documents, activity outlines, collaborative notes, and announcements inviting participants to join either the forum space or workshops.”
